You don’t need a computer science degree to understand AI. You need the right analogy and about 8 minutes.
A few weeks ago, I was talking to a team leader who’d been using ChatGPT for months. She found it genuinely helpful — used it regularly, got decent results. But when I asked what she thought was actually happening when she typed a message, she paused and said: “Honestly? I have no idea.”
She’s not alone. Most professionals I talk to use AI tools regularly without understanding what’s happening behind the screen. That’s like driving a car without knowing it runs on petrol — it works fine until something goes wrong and you have no idea why.
So let’s fix that. No jargon. No computer science. Just a clear explanation of what’s really going on when you type a message into ChatGPT, Claude, or any other AI assistant.
It’s not a search engine. It’s a pattern machine.
Here’s the first thing that trips people up: AI assistants don’t look things up.
When you type “What’s the capital of France?”, ChatGPT doesn’t search a database and retrieve “Paris.” It generates the word “Paris” because, based on the billions of text examples it was trained on, “Paris” is the most probable next word after that sequence.
That distinction matters more than it sounds.
The key insight: ChatGPT doesn’t know things. It predicts what words are most likely to come next, based on patterns in its training data.
Think of it this way. Imagine someone who has read every book in the British Library, every newspaper article ever written, and millions of online conversations. They haven’t memorised any of it — but they’ve developed an extraordinary intuition for how language flows. If you start a sentence, they can finish it in a way that sounds remarkably natural.
That’s what a Large Language Model does. It analyses patterns in human language — how we structure sentences, connect ideas, express different types of information — and uses those patterns to generate responses one word at a time.
How it actually learns (without anyone teaching it)
This is the part where most people’s eyes start to glaze over — and that’s fair. But stick with me, because this is simpler than it sounds.
How an LLM goes from raw text to your response happens in three stages:
1. Reading everything. The model processes massive amounts of text — books, articles, websites, forums, research papers. We’re talking hundreds of billions of words. It doesn’t understand any of it. It’s mapping statistical relationships: which words tend to appear near which other words, in which contexts.
2. Spotting the patterns. Through this process, the model maps relationships between words, concepts, and contexts. It distinguishes that “bank” in a financial conversation probably relates to money, while “bank” near “river” means something entirely different. Not because it grasps meaning, but because the surrounding words create different statistical patterns.
3. Generating responses. When you ask a question, the AI doesn’t retrieve a stored answer. It generates a response word by word, each choice shaped by the patterns it learned and the context you’ve provided.
When I first tried to understand this, I assumed it was like a massive search engine. It’s not — and that misconception led me astray for weeks. Once I stopped thinking of it as “looking things up” and started thinking of it as “predicting what to say next,” everything clicked.
In practical terms: Every response you’ve ever received from ChatGPT was assembled one word at a time, each word chosen because it was statistically the most likely continuation of everything that came before it.

Why “Large” is the whole point
The “Large” in Large Language Model isn’t marketing fluff. It refers to the model’s scale — hundreds of billions of parameters. Think of parameters as the model’s decision-making components, the internal dials it adjusts during training.
Here’s why that matters to you as a professional using these tools:
- More parameters = better at handling subtle nuances in your requests
- More parameters = better at maintaining context across a long conversation
- More parameters = better at handling ambiguous or complex instructions
In our experience, the simplest way to think about it: it’s the difference between someone who’s read a few dozen books versus someone who’s absorbed entire libraries. Both can finish your sentences, but one of them does it with considerably more sophistication.
This is also why different AI tools perform differently. GPT-4, Claude, and Gemini all have different architectures, different training data, and different parameter counts. Same core concept, different execution — which is why the same prompt can produce genuinely different results across tools.
True AI literacy isn’t just knowing how to use these tools, it’s knowing when not to use them.
What it can’t do (and why this matters for your work)
If you’ve ever been caught out by an AI confidently stating something completely wrong, you’re in good company — it happens to everyone, including me.
Here’s the thing: because ChatGPT generates responses based on probability rather than factual retrieval, it can produce answers that sound authoritative but are entirely fabricated. The AI community calls these “hallucinations,” and they’re not a bug that will be fixed in the next update. They’re a fundamental characteristic of how the technology works.
What LLMs can’t do:
- Verify their own claims. They generate plausible text. They don’t fact-check it.
- Access real-time information. Unless specifically connected to the internet, they’re working from training data with a knowledge cutoff date.
- Reliably remember everything you’ve told it. Even tools with memory features are selective about what they retain — and can’t be fully relied on for continuity across conversations.
- Understand meaning. They process patterns in language. They don’t comprehend concepts the way you do.
This isn’t a limitation to be frustrated by — it’s knowledge that makes you a better user. Once you understand that AI generates rather than retrieves, you naturally start verifying outputs, providing better context, and knowing when to trust the response and when to double-check.
The professionals who get the most from AI aren’t the ones who trust it the most. They’re the ones who understand what it’s doing well enough to trust it appropriately.
The magic happens when you stop trying to use AI like a search engine and start using it like a thinking assistant.
What this means for how you use AI tomorrow
Understanding the mechanics changes your behaviour in practical ways. Here’s what I’d suggest trying this week:
Give more context, not more instructions. Since the AI is predicting based on patterns, the more relevant context you provide — your role, the audience, the desired tone, specific examples — the better the patterns it matches against. Instead of “Write me an email,” try “Write a follow-up email to a client who missed our Tuesday meeting, tone should be warm but professional, keep it under 150 words.”
Verify anything that matters. Now that you know the AI is generating probable text rather than retrieving facts, treat every factual claim the way you’d treat a confident colleague’s memory — probably right, but worth checking when the stakes are high.
Iterate, don’t one-shot. The first response is the model’s best guess at what you want. Read it, identify what’s off, and tell the AI specifically what to change. This is how you guide the pattern-matching toward better results.
Name what’s wrong when it misses. Instead of re-prompting from scratch, say “The tone is too formal” or “You missed the budget constraint I mentioned.” You’re giving the model better context to adjust its predictions.
